Data & privacy policy

Who we are

SWIX Limited (“SWIX”, “we”, “us”) is a New Zealand company based at 13 Ravenscourt Place, Hamilton. This policy explains how we handle personal information collected through this website (swix.co.nz and swixhub.com) and through enquiries you send us. Where this policy mentions SWIX View monitoring data, that’s data we process for our customers, which is also governed by each customer’s service agreement.

What we collect

When you contact us. If you use our contact form, we collect your name, company and email address, and anything else you choose to give us: your phone number, your company’s staff count, the product you’re interested in, and your message. If you email or call us, we receive whatever you include.

When you visit the website. Like almost every web server, ours keeps a log of requests: your IP address, the date and time, the page requested, your browser type and the page that linked you here. We use these logs only to keep the site secure and working.

What we don’t do. This website doesn’t use analytics, advertising or tracking cookies. We don’t build profiles of visitors, and we don’t sell or rent personal information to anyone.

How we use it

• To reply to your enquiry, arrange a demo, or provide the services you’ve asked for.
• To protect this website from spam and abuse — for example, limiting how many messages can be sent from one connection in an hour.
• To meet our legal obligations.

Where it’s stored

This website is hosted on servers in New Zealand.

Contact form enquiries are sent by email to our team, using our Microsoft 365 email service. They are not stored in the website’s database. The only exception: if a form can’t be sent (for example, a required field was missed), what you typed is held for up to 10 minutes so you don’t have to start again.

SWIX View monitoring data is stored, processed and backed up in SWIX’s own data centre, in New Zealand. See our Trust & security page for more detail.

Third-party services

A small number of services on this website are provided by overseas companies, which means some information is sent outside New Zealand when you use them:

• Google reCAPTCHA runs on the contact page only, to tell genuine enquiries from automated spam. It collects information about your device and how you use the page and sends it to Google, which may set its own cookies. Its use is subject to Google’s Privacy Policy and Terms of Service.
• Google Fonts supplies the typefaces this website uses. When a page loads, your browser requests the fonts from Google’s servers, which sends Google your IP address and browser details.
• Microsoft 365 provides our email, so enquiries you send us are held in Microsoft’s service.

Our Facebook and Instagram links are ordinary links. Nothing from those platforms loads on this website unless you click through to them.

Cookies

This website doesn’t set any cookies for visitors. The only cookies you may receive are from Google reCAPTCHA on the contact page, as described above. Our own staff receive login cookies when they sign in to manage the website.

How long we keep it

• Web server logs: 14 days, then deleted automatically.
• Anti-spam counter: one hour. It’s stored as a one-way scrambled value, not your actual IP address.
• Unsent form details: up to 10 minutes, as described above.
• Enquiries: only as long as we need them to deal with your enquiry, provide our services and keep proper business records. You can ask us to delete them at any time, unless we’re legally required to keep them.
• SWIX View monitoring data: as set out in your service agreement with us.

How we protect it

All connections to this website are encrypted (HTTPS). The website’s management area can only be reached from our own network, and every staff login needs a second, one-time code. We keep the website’s software up to date, and only people at SWIX who need personal information to do their job can access it.

Your rights

Under the Privacy Act 2020 you can ask us what personal information we hold about you, and ask us to correct it if it’s wrong. We’ll respond within 20 working days. To make a request, or to ask any question about privacy, contact our Privacy Officer:

If you’re not happy with how we’ve handled your information, please tell us first so we can put it right. You can also complain to the Office of the Privacy Commissioner at privacy.org.nz.

Privacy breaches

If a privacy breach involving your information is likely to cause serious harm, we’ll notify you and the Privacy Commissioner as soon as practicable, as the Privacy Act 2020 requires.

Changes to this policy

We’ll update this page if the way we handle personal information changes. The date at the top shows when it was last revised.
